The employee portal is a personal space you open up to your staff from Bill Alps. They use it to view their payslips, their absences and the data you have recorded, and to send you a correction request. No account is created on their side: everything runs through a link received by email. This guide describes what your employees see — sending the links and handling the requests are covered in the next guide.
1. A personal link, no account to create
- The employee receives an email in your company's colours, with an Open my portal button.
- No password, no sign-up: the link is the session. It is personal and must not be forwarded.
- The link stays valid for 90 days. Once opened, access remains active on the device used — no need to reopen the email every time.
- An employee can also request their own link: they enter their work email address on the Employee portal page and receive it if the address matches a record.
- Link expired? The page shows Invalid or expired link with a Resend a new link button — they sort it out without going through you.
2. Payslips
Payslips are grouped by year, most recent first. Clicking a row expands the full breakdown: gross components, Gross salary, deductions, Withholding tax, Family allowances and Net salary.
- Single download: the icon at the end of the row saves the PDF as fiche_salaire_2026_03.pdf.
- Bulk download: tick several rows — or Select all — then click Download selection. A ZIP archive is assembled directly in the browser, named after the year or the range of years selected.
- Only the payslips you have issued appear; while there are none, the portal shows No payslips yet.
3. Absences
The Absences tab lists the recorded history, with the reason and status of each absence; those with no end date are marked ongoing. Your internal notes and any calculation adjustments are never transmitted: the portal only receives the fields strictly needed for display.
4. Salary certificate
The Salary certificate tab rebuilds an annual overview from the payslips of the selected year — the previous year by default — and indicates how many payslips were taken into account, shown as 11/12 for example. It is a simple way for an employee to prepare their tax return without asking you.
5. My data
The My data tab shows, read-only, the record exactly as you entered it. Fields left empty are simply hidden.
- Identity and contact: name, address, email, AVS number, date of birth, nationality, marital status.
- Contract: contract type, start date, end date, work percentage, vacation weeks.
- Pay and payment details: gross monthly salary and IBAN.
6. Requesting a change
From My data, the Request a change button opens a form prefilled with the current values. The employee corrects what has changed and sends you the lot. The form has four blocks:
- Address: street, number, postal code, city, country.
- Personal situation: date of birth, nationality, AVS number, permit type, marital status, spouse working in Switzerland, children (first name and date of birth).
- Contact and bank: email and IBAN.
- Message and documents: a free-text comment and up to 5 files of 10 MB each, PDF or image.
Only one request can be pending at a time: until you decide, the button becomes Request pending and stays inactive. The employee follows progress under My change requests, where each request shows the old and the new value, a badge reading Pending, Applied or Declined, and the reason you may have given for a refusal. They also receive an email as soon as you have handled the request.
7. After an employee leaves
- Read access stays open for 3 years after the end date: a former employee retrieves their payslips and certificate without having to write to you.
- Change requests, on the other hand, stop on the departure date itself. The page then shows Your employment has ended — your data is read-only.
- After those 3 years, no link can be issued any more, neither by you nor by the former employee.
